Chaperone Procedures

2008 – 2009 Chaperone Polices and Procedures for The Hiram High School Band of Gold

Thank you for helping chaperone the Band of Gold! The following is a list of rules and procedures. If you have any questions about the rules and procedures, please see Dr. Davis or Mr. Gibson. Rachael Mowery manages the Chaperone list and schedule for 2008-09. If you wish to chaperone, please contact Rachael.

** Please note that we cannot accommodate all chaperone requests. We must have a balance of experienced chaperones and underclassmen parents. Chaperones receive free admission to away games.

Procedures

1. Upon arriving at the school, please find and check in with the head chaperone for bus assignments and any last minute instructions. She is usually located in front of Dr. Davis’ office.

2. INSPECTION After checking in, please go to the door of the bus you are chaperoning and begin inspection. Students MUST be inspected before they can board the bus.

NOTE: Once the students are on the buses, after inspection, then CANNOT get OFF!!!

Check to make sure the students on your list have the following items before getting on the bus! You must VISUALLY see each item:

*The are in FULL Uniform! (Guard needs to show you their full uniform and any additional pieces and warm up suit on or with them (if needed).

* White socks (long socks, not anklets)

* Polished white shoes (polished as white as possible.) If they are not, then they will need to acquire some white shoe polish from someone on the bus.

* Hat box: check inside for hat, plume and gloves (if percussion they will not have gloves; pit members do not have hats but they do have wristbands.)

* No earrings, bracelets or necklaces that cannot be hidden under their uniform. Hair MUST be braided and or up off of the collar of the uniform. This rule applies to both ladies AND gentlemen.

* And last see that each student either has their instrument and shows you, or tells you they have put it on the equipment truck. Same goes for flags.

3. Once they are on the buses during the ride to and from games/competitions, make sure that they do not stand up while bus is in motion or put head, arms, etc. out the windows. Also, you may quiet them down if they get too loud.

When approaching railroad crossings, everyone MUST be silent until the bus has crossed safely.

Also note that inappropriate physical behavior and language is not tolerated and will be reported to Dr. Davis and Mr. Gibson.

Once you are at the game and all the students are off the bus and ready to go, you may go into the stadium and be seated until the game is over. Please keep up with your bus’ list of students as you will need it for the return trip home.

4. NOTE: After the game is over, you are to meet back at your bus to begin to take roll for the trip home. Double check your list for missing students. If there are any, you must go to Dr. Davis and/or Mr. Gibson and cross check to see if those students had checked out with one of them to go home with their parents.

UNDER NO CIRCUMSTANCES ARE YOU TO RELEASE ANY CHILD TO A PARENT!!!!

The parent will have to personally talk to Dr. Davis or Mr. Gibson to have their child released. After Dr. Davis and/or Mr. Gibson finish telling you which students were released to parents, then you complete the roll call and when Dr. Davis, Mr. Gibson, and/or the head chaperone come to your bus, you will let them know if everyone on your list is accounted for and if the bus is ready to go.

5. CLEAN UP: Once you are approaching the school, you will appoint two students to do bus cleanup after everyone is off the bus. Tradition is to pick a freshman student to do this duty or whomever you decide is fine. After everyone is off the bus, go back to front of bus to check and make sure no one left any items on our under the seats…especially trash or missing uniform parts. If you find missing uniform parts, bring them to the band room and leave on the floor in front of Dr. Davis’ office.

IN SUMMARY:

You are in control of the bus at all times and students are to listen to your instructions. If you do have problems with any student, then let Dr. Davis or Mr. Gibson know as soon as possible and they will deal with that student or students. Model good behavior. Smile, but be firm.
